This Privacy Policy explains how STG Food Trucks collects, uses, and shares information for organizer accounts, guest booking requests, event tools, and related organizer-facing services.
1. Scope
This Privacy Policy applies to the organizer-facing STG Food Trucks platform, including registered organizer accounts, guest booking requests, event tools, flyer upload and analysis features, and related communications.
This policy describes STG Food Trucks' practices. Food trucks, payment processors, analytics providers, map providers, email providers, AI service providers, advertising providers, and other third-party services may have their own privacy policies.
2. Information You Provide Directly
Organizer account information
If you create an organizer account, we collect information such as your name, email address, password authentication data, organizer or company name, contact email, contact phone number, profile description, and other account or profile details you submit.
Guest booking request information
If you submit a booking request without creating an account, we collect the contact and event information needed to process the request, including requester name, requester email, requester phone number if provided, event type, event date and time, event location, approximate attendance, cuisine preferences, admission/access information, and additional details you choose to provide.
Event, booking, and user-generated content
We collect event details, saved events, booking requests, preferred trucks, event descriptions, notes, uploaded event flyers, images, photos, reviews, ratings, comments, and other content you submit. If you make an event or other content public through available settings, that content may be displayed publicly.
Authentication and security information
We process information used to protect accounts and sessions, such as password hashes, session tokens, sign-in tokens or codes, CSRF tokens, timestamps, account status, role information, and related security records. We do not intentionally store plaintext passwords.
3. Device, Browser, IP, Log, and Usage Information
When you use the platform, we and our service providers may collect technical information such as IP address, browser type, device information, operating system, referring pages, pages viewed, dates and times of access, session activity, error logs, security events, and general usage information.
We use this information to operate the platform, troubleshoot errors, protect accounts, prevent fraud and abuse, understand feature usage, improve performance, and maintain security.
5. Maps, Places, and Location-Related Features
STG Food Trucks uses Google Maps or related Google location services in parts of the platform to display maps, service areas, truck locations, directions, or nearby-location functionality. Event addresses, venue names, city information, coordinates, map interaction data, IP address, and device/browser information may be processed by Google or related providers when map features are used.
Some location features may depend on information you type into a form, while others may use browser or device location only if you grant permission through your browser or device settings.
6. AI Processing of Uploaded Flyers and Images
The organizer event workflow may allow you to choose AI-assisted flyer analysis. If you start AI analysis, the uploaded or pasted flyer image and related technical information may be sent to OpenAI or another AI service provider used in production so the platform can suggest event details.
AI-generated information may be incomplete or incorrect. You are responsible for reviewing and editing all suggested information before saving or using it.
7. How We Use Information
We use information to:
- create, authenticate, secure, and maintain organizer accounts;
- receive, save, route, and manage booking requests;
- connect organizers with appropriate food trucks;
- send transactional emails, confirmations, sign-in links, sign-in codes, service notices, and support messages;
- operate event, profile, preferred-truck, booking, and flyer features;
- analyze uploaded flyers when you choose to use AI analysis;
- provide maps, location, and nearby features;
- protect the platform, investigate abuse, prevent fraud, and enforce terms;
- debug errors, maintain logs, and improve reliability;
- measure usage and improve the platform; and
- send optional marketing or promotional communications where permitted.
9. Email, Marketing, and Push Notifications
We may send transactional communications related to accounts, authentication, password or security events, booking requests, booking responses, event activity, legal notices, and important service updates. These communications are part of the requested service and may not be fully optional while you use the platform.
We may also send optional marketing or promotional communications where permitted. You may opt out of optional marketing by using any unsubscribe instructions provided, adjusting available account preferences, or contacting aaron@stgfoodtrucks.com .
If push notifications are offered and you opt in through your browser, device, or account settings, we may process device tokens, notification preferences, and related technical information to send notifications. You can usually disable push notifications through your browser or device settings.
10. Data Retention
We retain information for as long as reasonably needed to provide the platform, maintain accounts, process booking requests, support users, keep business and security records, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, and maintain backups pending normal deletion cycles.
Retention periods may vary based on the type of information, the reason it was collected, account status, operational needs, security needs, and legal or dispute-related requirements.
11. Privacy Choices, Access, Correction, and Deletion
Registered organizers can review and update certain account and organizer profile information through account settings. You may request access, correction, export, or deletion of account information by contacting STG Food Trucks.
You may request full account deletion, subject to reasonable retention for security, fraud prevention, legal obligations, disputes, booking or transaction records, enforcement of agreements, backups, and legitimate operational requirements. We do not promise instantaneous deletion from every backup or system.
Guest booking request users may contact STG Food Trucks to request assistance with information associated with a submitted request. We may need enough information to verify and locate the request before acting.
12. Security and Privacy Limitations
STG Food Trucks uses technical and organizational measures intended to protect information, including authentication, password hashing, session controls, CSRF protections, private media storage, validation, and logging. No website, email system, database, or internet transmission is completely secure.
Please do not include sensitive payment information, government identifiers, medical information, or other unnecessary sensitive personal information in booking notes, event descriptions, flyers, or messages.
13. Third-Party Services
Third-party services used by or connected to STG Food Trucks may collect and process information under their own terms and privacy policies. Known service categories include Google Analytics, Google Maps / Places, Stripe, Mailgun, OpenAI or another AI service provider used in production, advertising or remarketing services, and push-notification infrastructure.
We do not control every privacy practice of third-party services. You should review their policies for more information about their processing.
14. Children's Privacy and 18+ Requirement
The organizer platform is intended for users who are at least 18 years old. We do not knowingly collect organizer account or booking request information from children. If you believe a child has provided information through the organizer platform, contact us so we can review the request.
15. Changes and Contact
STG Food Trucks may update this Privacy Policy from time to time. The updated policy will be posted with a new Last Updated date. If changes materially affect how we use personal information, we will provide additional notice where required by law or appropriate for the change.
